Request for Proposal: District Bus and Vehicle Maintenance Provider USD 403 Board of Education is seeking RFP’s for Bus and Vehicle Maintenance for the 2021-2022 School Year. USD 403 is seeking competitive and quality bids for an entity or individual to serve as our District Vehicle Maintenance Provider. Scope of Work and Requirements:

  1. Mechanical repairs of district vehicles which include seven busses and six passenger vehicles, diesel and gasoline.

  2. Some on-site repairs.

  3. Some towing of vehicles to maintenance shop.

  4. Preparation of all vehicles prior to KHP inspections to begin each school year.

  5. Ability to communicate well with necessary District Staff and Drivers.

  6. Reasonable availability and timeliness of repairs.

  7. Provide insurance coverage to protect against loss while district vehicles are in its possession.

  8. Furnish the tools and equipment to make repairs.

  9. Warranty repairs performed for labor costs.

  10. Must possess or be able to obtain a Class (A) or (B) CDL, in order to transport busses.

  11. Cleaning and detailing of district vehicles.

Proposal Requirements:

  1. Mechanical background and certifications.

  2. Name of Insurance Provider.

  3. Hourly rate for repairs to busses.

  4. Hourly rate for repairs to passenger vehicles.

  5. Rate to tow or transport vehicles to mechanical shop.

  6. Rate to repair vehicles on-site (district campus).

  7. Rate to mount and balance bus tires.

  8. Rate to mount and balance passenger vehicle tires.

  9. Rate for alignment on busses.

  10. Rate for alignment on passenger vehicles.

  11. Rate for mandatory yearly inspections of busses.

  12. Rate for mandatory yearly inspections of passenger vehicles.

  13. Rate for cleaning and detailing of district vehicles.

Evaluation and Award Process:

  1. All proposals need to be mailed to: Attn: RFP / USD 403 / PO Box 227 / 301 West Eagle Street / Otis, KS. 67565. They may also be hand delivered to USD 403 District Office / 301 West Eagle Street / Otis, KS.

  2. Proposals must be received in the USD 403 District Office by 10:00 A.M. on October 8th, 2021.

  3. Proposals must be in a sealed envelope.

  4. USD 403 Board of Education will review all proposals at the regular board meeting on Monday, October 11th at 7:30 P.M. in the USD 403 District Office.

  5. The board may select a proposal and award a contract at the regular board meeting on Monday, October 11th.
